Lewis James Professional is a woman-owned staff augmentation, project consulting and direct hire search and placement firm. We are currently seeking an internal VMS Coordinator.
Responsibilities:
- Initiate Onboarding and support new placements in completing tasks
- Document all updates in appropriate systems
- Communicate both internally and externally to ensure all alerts and tasks are taken care of in a timely manner
- Support recruiters in recruiting activities, including but not limited to scheduling interviews, updating start and end dates, noting consultant time off, etc.
- Provide administrative support to office staff by acting as a subject matter and system expert for all VMS tools
- Monitor VMS notifications from clients
- Maintain constant communication with staff regarding VMS activity including interview requests, chat messages, job postings, start date confirmations, etc.
- Complete necessary revisions in VMS and ATS systems, including but not limited to supervisor changes, rate changes, assignment extensions, onboarding and offboarding notifications
- Complete onboarding and offboarding for all placements
- Prepare and post job ads online
- Reconcile VMS job postings with our internal ATS (Bullhorn) system
- Strong working knowledge of CRM and ATS systems, specifically Bullhorn, to ensure documentation is complete
- Complete weekly payroll for all billable consultants
- Run reconciliation reports for time entry
- Perform other operational tasks including but not limited to rehire eligibility checks, internal and external audits, employment verifications, unemployment wage audits, setting up new consultants in appropriate systems
Qualifications:
- Experience in an administrative role providing support in a process-driven setting
- Strong organizational skills and high attention to detail
- Advanced Excel skills
- High sense of urgency, ability to take initiative, and critical thinking skills
- Ability to work in fast-paced environment and juggle multiple demands
- Exceptional communication (written and verbal) and customer service skills
- Experience with Vendor Management Systems preferred
- Knowledge of terminology used within a Managed Service Program and VMS is preferred, such as IQN, Coupa, Fieldglass
- Knowledge of and / or experience in general staffing or financial industry is a plus
